The 10 Best Microsoft Copilot Prompts
In my Microsoft Copilot courses I keep getting the same question: which prompts are actually the most useful in everyday business and make a noticeable difference to productivity?
Microsoft Copilot can do a lot, from email support to data analysis and presentations. But not every feature has the same effect on the daily work of managers and business users.
Good to know: most of the prompts in this post require a Microsoft 365 Copilot license. Copilot Chat on its own is not enough, because many features are built deep into Outlook, Teams, Word, Excel and PowerPoint.
In this post I have put together the ten most effective Copilot prompts, based on experience from projects, trainings and real feedback from practice.
1. Summarize meetings automatically
Tool: Microsoft Teams, Outlook (meeting notes) Prompt: "Summarize the key points and tasks from today's meeting." Copilot turns this into structured notes with action items. No information gets lost and everyone involved knows right away who has to do what. Especially helpful on days packed with meetings.
Tip: Add "List the open tasks sorted by owner" to the prompt to get a to-do list per person right away.
2. Condense long emails
Tool: Outlook Prompt: "Summarize this email thread in three key points and list any open questions." Copilot filters the essentials out of long threads. That saves you valuable minutes and lets you focus on decisions.
Tip: You don't always need a prompt for this. The Summarize button in Outlook often does the same job.
3. Get documents to the point
Tool: Word, PowerPoint, Microsoft 365 Copilot (attach files) Prompt: "Create a bullet-point summary of this document." Whether it's a report, a strategy paper or a study: Copilot extracts the key statements and gives you a concise overview. Ideal for managers who need the big picture fast.
Tip: Use additions like "Highlight the three most important recommendations" to pull options for action straight out of the document.
4. Create presentations automatically
Tool: PowerPoint Prompt: "Create a ten-slide presentation about the impact of social media on our company." This prompt works best when the content has been collected in Word beforehand or prepared with a Research agent. Copilot then builds a structured presentation with slides that serve as the basis for the final polish.
Tip: Use your company's official PowerPoint template so Copilot creates the presentation in your corporate look right away.
5. Schedule meetings automatically
Tool: Outlook, Teams Prompt: "Schedule a thirty-minute meeting with Anna and Markus next week and find the earliest free slot." Copilot compares the calendars of everyone involved and saves long rounds of back-and-forth by email. Especially useful for busy managers.
Tip: Use /Name to reference people directly. Note, however, that this only works reliably with colleagues inside your own company.
6. Find open tasks in emails and Teams
Tool: Outlook, Teams, Microsoft 365 Copilot (Business Chat) Prompt: "List all open tasks from my recent emails and Teams chats." Copilot recognizes action items and creates a clear overview. You keep track of your tasks without clicking through hundreds of messages.
Tip: Add a time frame, for example "last two weeks", to see only current tasks.
7. Create a weekly review
Tool: Outlook, Teams, Microsoft 365 Copilot (Business Chat) Prompt: "Create a summary of my most important activities this week." Perfect for a personal review or for team updates. Copilot uses information from emails, meetings and documents to give you a quick overview.
Tip: Also ask for "the top three completed tasks" to make your wins visible right away.
8. Plan the week ahead
Tool: Outlook, Teams, Microsoft 365 Copilot (Business Chat) Prompt: "Create a plan for my next work week and prioritize the most important tasks." This gives you a clear structure, and you know which topics come first. Especially helpful when you run several projects in parallel.
Tip: Add "Sort by importance and effort" to get a realistic weekly plan.
9. Analyze and visualize data
Tool: Excel, Microsoft 365 Copilot (attach files) Prompt: "Analyze this Excel table and create a chart that shows sales by region." Copilot turns natural language into analyses and charts. This makes Excel and working with data efficient for non-experts too.
Tip: This works directly in Excel, and also when you attach an Excel or CSV file in Microsoft 365 Copilot and ask for a chart.
10. Generate images for presentations
Tool: PowerPoint, Microsoft 365 Copilot (Business Chat) Prompt: "Create an image in the style of a professional infographic for a presentation about sustainability." Copilot can create visual content directly. This lets you strengthen your message without bringing in a designer.
Tip: Put your exact company colors in the prompt so the generated images match your corporate design.

Conclusion
The ten Microsoft Copilot prompts in this post are ready to use and cover key scenarios in everyday business. You don't need to use all of them at once. Pick the ones that take the most load off your own workflow.
Many of my course participants report that just two or three of these prompts have noticeably changed their work. That is exactly what makes Microsoft Copilot a real productivity tool: small, targeted steps that add up to a big effect.
Note: most of these prompts require a full Microsoft 365 Copilot license. Copilot Chat on its own is usually not enough, because it cannot access your emails, calendar, documents or Teams chats.
